Q1 2017 - Admin meeting minutes

HI all,

So here is the summarized outcomes/ minutes:

Slush Fund and Grrr Durban issue:

* Accounts isn't being emptied for this activity
* We will post the expenses on the private section going forward and omit the individual names of people we decide to "sponsor"
* There will still be money left for Grrrage 2017 after this, granted we still missing a lot of contributions.....
* A set of slush fund rules needs to be drafted which will be the deciding rules regarding any slush fund expenditure (any volunteers ?)
* Grant has indicated that he can assist with flight tickets for Grrrage 2017
* In closing, I will draft a post re the Durban expenses and asking people to contribute in the next month, which J will review and then post

Grrrbian of the year award:

* It was discussed and I will go ahead and make a post re this on the forum. criteria not defined.

Grrr Chat app:

* Item to be added as a tracker as its a important focus point

Quarterly Admin meetings

* It was discussed and approved that we have a quarterly admin meeting. Ion to schedule them

Member list to be cleared

* Ion to post a list of names that need to be cleaned and after approval they need to be cleared up from the site front page.

Additional Admin appointment

* Ion going to appoint a new admin in the near future to cater for possible comp participation etc.

Let me know if I might have missed something.

nice summary - will perhaps create another thread for drafting and discussing a "Regulations for Treasury Finances" proposal. It deserves its own thread.

Durban Trip Expenses.

This post is just to clarify the current state of the slush fund and expenses re the Durban trip.

The slush fund is currently sitting at RXXXXX insert current balance. The budget for the Durban trip is R4222. This is broken down into the following items:
R2200 to assist with traveling expenses (this is merely to subsidize and doesn’t cover everything)
R1022 to assist with entry to Ushaka Marine World for the attending people.
R1000 for a Braai that will be done on the Sat (Beer and meat)

If anyone has any concerns/queries re this they are welcome to post them here.

Grrr Slush fund Recon

So we have concluded the recon on the fund and there is people not contributing currently (last year and a half).
Please remember that the contributions is a membership requirement and everyone agreed to it.
We have opted to give everyone a month’s time from the date this is posted to please get your contributions up to date.
If anyone has questions re this or need details on their contributions if not sure they are welcome to contact either Ion or Jarrod.

Not sure if this is giving too much detail on the expenses and if the idea was to just give the over all numbers?

* Not sure if this is the figure that might cause an issue with the unhappy parties and maybe give enough information as to not create more questions or cause uncertainties e.g.:

1. How did you arrive at R2200?
2. Is this figure subsidising grrr members who have been paying their subs?
3. How many grrr members is it going to assist or is it an overall assistance amount to cover all who are attending the weekend?
