Well using the rates found here
http://www.heatherdale.co.za/we-provide/rates/Assuming we take the Self catering and 5 Standard Rooms (they have 7) the total cost will be R16 600 (or R16 425 if the sleeper couch is charged at R350)
Which mean it works out to R410.65 per person per night if we divide up the cost equally (which I am fine with). That means we need R8 212.50 deposit and each person is responsible for the following

Okay guys, I think we should do it differently this year to last year. Last year, I took a portion of the slush fund (most of it), and subsidised the total accommodation bill, making it cheaper for everyone who was staying over.
This is great for those who stayed, but is wrong (IMO) for two reasons:
1. People who don't stay over got no benefit from the Slush fund
2. Different people can afford different amounts
As such, I'm going to suggest the following:
As a general rule, everyone is responsible for their full accommodation cost. Anyone who has genuine financial constraint and cannot afford the value listed above, please let me know, and at the same time tell me what you can realistically afford to pay. I will ask that anyone who needs a subsidy to please let me know within the next week (ideally before we pay any deposit to Heatherdale).
Once I have alll subsidy requests, I'll compare the value against what we have available in the fund, and allocate subsidies accordingly. We need to be sure that people can join us at rAge, and the ultimate purpose of the fund is to ensure that everyone who wants to attend can do so.
Hopefully, the subsidy requests will amount to less than the balance of the fund. What remains will be used as a contribution towards the entertainment costs (please note, even if we had no subsidies to pay, we probably couldn't cover the full booze bill out of the fund - you reprobates drink a LOT!!).
Does anyone have any objection to this approach?
For everyone who has an accommodation bill that isn't looking for subsidies, I'm going to ask that you make an EFT into the slush fund ASAP to cover your accommodation. Please use the reference '<yournick> Rage' so that I can track payments. As always, if you can contribute more than your bill, the money will be gratefully received and very useful for making this years rAge as epic as ever.
For those who haven't got the fund as a beneficiary as yet (everyone should have the details, 'coz I know that everyone puts in a monthly contribution for the good of the clan), they are as follows:

How does it usually work with food etc? Should I deposit enough money to cover that or keep it in ze wallet to buy over there.

Heatherdale is B&B, so you're sorted from breakfasts. Saturday night we have the braai, for which we usually do a whip-round on the Saturday morning. The rest of your food is your problem to worry about.
You shouldn't need cash for much else, unless you're going to the expo, in which case you might want to set aside some cash for impulse hardware/game purchases. Although prices aren't generally super cheap at rAge, you can often find some bargains.
